How Perplexity decides which brands to recommend

The other three engines we track sometimes answer from memory alone. Perplexity doesn't have that mode — it retrieves and cites on nearly every answer, which changes what actually earns you the mention.

Ask Perplexity "what's the best CRM for a five-person sales team" and you'll almost never get a bare paragraph with no sources. You'll get an answer with numbered citations under it — a direct, checkable list of the pages Perplexity actually read before answering. That's not a feature Perplexity sometimes turns on. It's the default mode, on nearly every question, because live retrieval is the product, not an add-on layered over a model that would otherwise answer from memory. This post is that mechanic, and what it means for what actually earns you the mention.

We've already covered how the other engines we track decide whether to go check the live web: ChatGPT predicts from training data, topped up with browsing when it's on, Gemini runs a per-question threshold on whether a Google search is worth the cost, and Claude decides per-request whether a question depends on current information — comparative, multi-brand questions being the case most likely to trigger a search. All three have a real "skip the search, answer from what I already know" path, and on a given question you genuinely can't tell from the reply alone which path it took.

Perplexity is built the other way around. Retrieval isn't a conditional step bolted onto a chat model — it's the core loop the product runs on essentially every question, which is why a citation trail shows up under nearly every answer rather than only the ones judged to need fresh information. Practically, that means the "was this answer memory or retrieval" question that matters so much for the other three engines mostly doesn't apply here: it's retrieval, by default, almost every time.

What that changes for you

If an engine only searches sometimes, a comparison page you publish this week has to wait for the model to (a) decide to search and (b) find your page in that search. With an engine that searches essentially every time, step (a) is no longer the gate — the only real question left is whether your page is good enough evidence to get pulled into that search and cited when it runs. That has two practical consequences:

  • Freshness matters more here than almost anywhere else. Because Perplexity is reading the live web at the moment your buyer asks — not recalling a frozen training snapshot — a comparison page you publish this week can out-cite a competitor's years-old mention almost immediately, with none of the lag you'd expect from a model that has to be retrained or fine-tuned to "learn" about new content.
  • The citation is the whole ballgame, not a bonus. On an engine with a memory-only fallback, being named without a citation is still a real, if weaker, win. On Perplexity, since nearly every claim is expected to trace back to a source, a page that never gets pulled into that retrieval step effectively doesn't exist for this engine — there's no "the model just happens to remember you" consolation path the way there sometimes is on ChatGPT or Claude.

What actually earns the citation

Given that Perplexity is running a real-time retrieval-and-rank step on essentially every question, the pages that win are the ones built to be the obvious pick in that moment:

  • Recent, dated content. Our own engine notes on Perplexity are blunt about this: recent, well-structured, clearly-sourced pages rank fastest in what Perplexity pulls in, and dated pages or press mentions move quickly. A comparison page or announcement with a visible, real publish date is doing real work here that undated evergreen copy doesn't.
  • Content shaped like the question, not like a brochure. The same lever that decides ChatGPT's answers applies here — a real "X vs Y" or "best X for Y" page gives the retrieval step something directly on-point to pull in and cite, instead of forcing it to extract a comparison from a generic homepage.
  • Being reachable by PerplexityBot at all. None of this works if the crawler can't fetch your pages in the first place — check that first with the free AI crawlability checker before investing in content aimed at this engine specifically.
  • A clean, quotable sentence near the top. Perplexity's citations are short and specific — a page that states its category and audience plainly in one sentence near the top gives the retrieval step a clean line to lift and attribute; a page that buries the same fact under brand-voice copy gives it nothing worth quoting cleanly.

Why "I checked Perplexity once" still isn't enough

Perplexity's citation habit makes it feel more checkable than the other three engines — you can see exactly which pages it pulled in for one answer. But one answer is still one sample: the exact sources it surfaces vary by the precise wording of the question, and your buyers ask in dozens of different phrasings, not one. Checking "what's the best CRM" once tells you which sources won that retrieval — not the pattern across the 15+ ways a real buyer actually asks.
